PM Tools for Managing Unapplieds, Deposits, and Multiple Encounter Visits

Now more than ever, it is important to utilize your staff to their fullest potential.  In these tough times, your staff may be filling multiple roles, working reduced hours, or working remotely in an attempt to keep your practice moving forward.  Let us help you with some of the more-tedious PM tasks in NextGen so your staff can focus on the more important tasks.  Join us while we demo two NextGen Add-On Products that aid in automating these tasks and see how your practice could save time and effort on PM and billing activities.

Unapplied & Deposit Manager will save your staff time whether they’re working general unapplied amounts or using the unapplied buckets to manage deposits. For general unapplied credits, you pick the rules you’d like to use to apply the balances. Do you only want matching amounts, partial amounts, or would you like to over apply to produce a credit balance to be refunded? Additionally, if you’re cleaning up co-pays, you can specify the exact amounts that the system will apply down to the encounters regardless of balances. Unapplied & Deposit Manager is built to automate a majority of the work required for encounter and account unapplied balances. For practices who keep deposits against future services in unapplied, you can map the transaction code used to post the payment to future services by a combination of Service Items and/or Modalities. The deposit will automatically be drawn down for its intended use as the patient has those specific procedures in the future. Unapplied & Deposit Manager is designed to save your staff valuable hours whether the need is to clean up unapplieds, simplify the ongoing handling of unapplieds, manage deposits, or all of them!

Multiple Encounter BillingManager makes the process of creating multiple encounters for a single patient visit more efficient. It is ideal for practices that require billing staff to enter/exit multiple practices to enter different charges such as professional charges, ambulatory surgery center charges, anesthesia charges, etc. for

Most practices process hundreds of transactions every day, both manually and automatically.  With all the other demands of running a medical practice, it can be very difficult to monitor such a large volume of transactions.  The NextGen® Transaction Approval process provides an automated mechanism to ensure that transactions that reach a certain threshold are fully documented and approved before they are finalized in the system.  This is done seamlessly without interrupting the user’s workflow.  This presentation walks attendees through a step-by-step process to configure and implement this functionality.

Make a Statement by Improving Your NextGen Practice Statements

With the rise in high-deductible health plans, practices must have a strategy to collect co-payments and co-insurance amounts. At Itentive, we have seen this trend in our own clients’ medical practices and it seems doubtful to improve. Knowing this, we believe it is even more important that our clients are managing their statement process as efficiently as possible.

There are many factors that determine which patients will receive a statement and consequently, we see some common problems: patients aren’t getting statements, or they are getting statements for the wrong amount. Our experience shows that most of these problems are caused by the system configuration, specifically in either practice preferences or the statement generation process.

In this webinar, we will dive deep into the logic used in generating patient statements using NextGen by looking at some of the common problems and their causes. Our goal is to help you recognize these issues in your own practice and take proactive steps to resolve them before they impact your patients, your bottom line and your practice reputation.
